Mensavo adds to Odoo the applications a secondary school needs to collect money, invoice and inform families. The bursar, the school office, the kitchen and the management work in the same database, each with the applications their role opens to them.
What the bursar's office, the canteen and the school office do in Odoo
Each pupil has an account that families top up
One account per pupil, one sub-wallet per parent or legal guardian. Transfers with a structured payment reference, online payment and cash deposits at the school office credit it; meals, photocopies and school invoices debit it.
The kitchen publishes its menu and knows how many meals to prepare
The kitchen publishes its dishes and its deadline, families or the school office book, the kitchen reads the quantities per dish, and scanning the card at the till debits the meal.
A school fee is invoiced to a whole class and followed until payment
A fee is invoiced to a class, a year or a list of pupils, a trip is funded through several instalments, and an unpaid invoice follows its reminders, then a collection file.
The pupil balances are reconciled with the accounting account
The wallet balances are reconciled with the debt account owed to families in the Belgian chart of accounts. The movements are then exported, with their accounting codes, to the accounting software in place.
The school records attendance and writes to families
The school records absences and lateness by period, writes to the parents of a class or a year group, and opens the slots for the parents' meeting.
Families enrol their child in extracurricular activities
The organiser publishes the term programme, each family only sees the activities its child can attend, Mensavo refuses timetable clashes, manages the waiting list and invoices pro rata for the sessions left.
Families enrol their child on the school bus
The transport service describes its routes and stops, the family chooses the morning stop and the evening stop from a phone, and the daily list of each bus takes diversions, occasional trips and absences into account.
Families book childcare and the childcare worker records departures
Parents book from their phone and keep the list of authorised adults. The childcare worker records arrivals and departures on a tablet, an adult who is not on the list is blocked, and the actual attendance is added to the canteen invoice.
The families portal and the pupil app
Parents never open Odoo: they use an app written for the phone, with an access per parent or legal guardian. The secondary pupil can receive their own access, within the limits each parent sets.
